Resource Management Coordinator I

Full Salary Range: $21.163 - $30.697

Hiring Range: $21.53 - $23.32

Resource Management Coordinator II

Full Salary Range: $23.418 - $33.952

Hiring Range: $23.82 - $24.96

Resource Management Coordinator III

Full Salary Range: $ 25.361- $ 38.048

Hiring Range: $26.32 - $27.58

This is an in-person position and is not eligible for remote work. This position has an anticipated work schedule of Monday – Thursday, 6:30am – 5:00pm, subject to change. Under FLSA guidelines, this position is non-exempt.

Performs warehouse duties, distribution, and record maintenance for the Department of Public Works (DPW) Resource Management Division; provides exceptional customer service in a fast-paced environment. Operates County vehicles to pick-up and transport parts, supplies, and materials. Responsible for receiving, stocking, and issuing parts, supplies, and materials This position is part of the Resource Management Coordinator progression series, which includes Resource Management Coordinator I, Resource Management Coordinator II, and Resource Management Coordinator III. An employee is eligible to advance to the next position within the series when the employee has met the criteria for advancement as notated within the job description and has received a recommendation from the Hiring Authority.

Essential Duties/Responsibilities

  • Performs daily material handling processes and controls for department-wide receiving and distribution; utilizes a County vehicle to pick-up and transport parts, materials, and supplies.

  • Receives, stocks, maintains, and organizes supplies throughout DPW’s buildings and yards; ensures appropriate stocking levels of various materials. Operates forklifts, pallet jacks, and other warehouse equipment.

  • Performs large and small-scale physical cycle counts while ensuring accuracy.

  • Orders parts and supplies as directed; issues parts and supplies.

  • Performs data entry and maintains accurate records. Creates purchase orders in finance management software with direct oversight.

  • Provides excellent customer service in fast paced environment while maintaining attention to detail and accuracy in work.

  • Performs administrative duties, including scanning and tracking.

  • Maintains safe, clean, and organized facility/work areas; complies with safety and security regulations regarding handling of supplies and materials. Maintains general equipment safety procedures and repairs.

  • Performs other duties as required.

Resource Management Coordinator II:

  • Under limited supervision, orders parts and supplies and issues as appropriate; researches requested parts and identifies alternatives as needed. Completes parts and materials returns and transfers; updates and maintains inventory systems.

  • Responds to requests for services; ensures timely follow up with vendors regarding service requests. Interacts with staff and vendors to provide services and resolve problems; explains policies, procedures, and practices.

  • Enters data and transactions in resource management systems. Assists in maintaining accuracy of systems and databases. Diagnoses system data errors and omissions; performs routine corrections as appropriate.

  • Processes purchase orders and verifies receipts and pricing; ensures compliance with contract and procurement policies and procedures.

  • Performs administrative duties, including scanning, tracking, and verifying accuracy of financial data. Maintains accurate records of resource management orders, supplies, and files.

Resource Management Coordinator III:

  • Responsible for contract pricing, and ensuring terms and conditions are met for purchases.

  • Analyzes data and verifies accurate information is processed for journal entries in asset databases, including workorders, job numbers, pricing, and contract terms.

  • Responsible for overseeing and tracking internal daily material usage reports, ensuring compliance with contract and procurement policies and procedures.

  • Responsible for purchasing, tracking, researching, and verifying receipts of goods against purchase orders and invoices, including matching purchase orders and contract information; makes necessary corrections.

  • Processes vendor set-up requests for accounting system, maintains vendor files, and provides vendors with updates and information.

  • Purchases and orders parts, supplies, and materials and issues to workorders and employees; researches requested parts and identifies alternatives as needed. Completes parts and materials returns, transfers, and inventory updates.

  • Enters data and transactions in resource management systems; ensures accuracy of system databases. Diagnoses system data errors and omissions; performs corrections.

  • Performs accounting and administrative duties, including statement reconciliation, scanning, tracking, and verifying accuracy of financial data.

  • Provides training and guidance to all DPW staff on procurement and logistics.

Qualifications

Knowledge, Skills, and Abilities:

  • Knowledge of vehicle and equipment parts, materials, and supplies preferred.

  • Basic knowledge of inventory processes and cycle counts preferred.

  • Working knowledge of Microsoft Office, including Word, Excel, and Outlook.

  • Strong organizational and time management skills with attention to detail.

  • Ability to communicate effectively, both verbally and in writing.

  • Ability to provide excellent customer service in a fast-paced environment.

  • Ability to establish and maintain effective working relationships with County employees, outside agencies, vendors, and the public.

  • Ability to safely operate a variety of warehouse equipment, including pickup trucks, delivery trucks/carts, forklifts, hand trucks, dollies, small hand tools, computer and hand-held data collection devices, and standard office machines.

  • Ability to work independently and in a team environment.

  • Ability to complete Individualized Development Plan (IDP).Maintain regular and punctual attendance.

  • Resource Management Coordinator II:

  • Working knowledge of vehicle and equipment parts, materials, and supplies.

  • Knowledge of inventory processes and cycle counts.

  • Working knowledge of contracts, procurement, and inventory records management policies and procedures.

  • Working knowledge of and ability to interpret, implement, and adhere to applicable laws, regulations, policies, and procedures.

  • Ability to work independently and in a team environment with limited supervision.

  • Resource Management Coordinator III:

  • Knowledge of contracts, procurement, and inventory records management policies and procedures.

  • Knowledge of and ability to interpret, implement, and adhere to applicable laws, regulations, policies, and procedures.

  • Ability to assess situations and make prudent decisions; ability to effectively apply conflict resolution and problem-solving skills.

  • Ability to work independently and in a team environment with minimal supervision.

Required Education and Experience:

  • High school diploma or equivalent education.

  • Resource Management Coordinator II:

  • One year purchasing, inventory, warehouse, finance, or related experience.

  • One year of customer service experience.

  • Resource Management Coordinator III:

  • Two years purchasing, inventory, warehouse, finance, or related experience.

  • Two years of customer service experience.

Preferred Education and Experience:

  • One year of administrative, purchasing, inventory, warehouse, or related experience.

  • One year of customer service experience.

  • Resource Management Coordinator II:

  • Two years of customer service experience.

  • Resource Management Coordinator III:

  • College coursework in finance, accounting, or related field.

Licenses/Certificates:

  • Must possess and maintain a valid driver's license.

  • Must possess and maintain a Forklift Operation Certification or the ability to obtain within six months of employment.

  • Must obtain and maintain necessary certifications, licenses, and trainings as applicable to the position.

Pre-Employment Requirements:

  • Must pass conditional post offer background investigation, motor vehicle record check, drug screen, and physical examination.

Work Conditions

Duties are performed in both an office and stock room environment and requires frequent standing, reaching, bending, and climbing; some travel required. Position requires regular loading and unloading of stock room carts/equipment and vehicles. Must be able to safely lift, push, and pull and up to 75 pounds; maneuver and/or manipulate up to 300 pounds occasionally with the assistance of lifting aids. May be exposed to adverse weather conditions and hazardous materials, such as antifreeze, lubricants, solvents, corrosives, fuels, and vapors.
